Information for Hotel Reservations

ASA, CSSA and SSSA have negotiated discounted hotel rates for attendees. You must make your hotel reservation through Orchid Event Solutions via the links below. Hotel reservations are taken on a first-come, first-served, space-available basis. Submit your reservation as soon as possible for the best opportunity of receiving your hotel choice.  

Housing Scam Alert

Orchid Event Solutions is the official housing provider for the 2016 International Annual Meetings in Phoenix, AZ.  They will not contact you unless they are following up on a housing request you have submitted.

If you are contacted by any other company claiming to offer special housing deals we strongly suggest not providing credit card information to them. If you have already made a housing reservation and it was not with Orchid Event Solutions, you are encouraged to cancel your reservation and rebook it through the Annual Meeting’s official housing provider. Your housing reservation is safe and secure when it is made with Orchid Event Solutions.

Deadline

 

All reservations must be received by October 14, 2016, to guarantee availability and conference rates.  After this date, reservations will be made based on availability and hotels may charge higher rates. 

Deposit

All reservation requests must be accompanied by a credit card guarantee or check equaling the amount of one night’s room and tax for each room reserved. 

Acknowledgments

Orchid Event Solutions will send reservation acknowledgements within 72 hours of receipt. If you do not receive your acknowledgement in this time frame, contact Orchid Event Solutions. You will not receive confirmation from the hotel.

Cancellations & Changes

Cancellations received after September 22, 2016 will be subject to a $40 cancellation fee. Cancellations within 72 hours of the arrival date will forfeit one night’s room plus tax charge.

Through November 1, 2016, email requests for changes and cancellations to Orchid Event Solutions (help@orchideventsolutions.com) or fax to 801-355-0250. After November 1, 2016, contact hotels directly.

Room Sharing

Send one housing form for each room, listing all persons staying in the room. Ages and names of children sharing a room with parents must be stated on the form. You must make your own arrangements for sharing a room.  Neither the Societies nor Orchid Event Solutions will assign roommates. Requests for roommates may be posted on the Annual Meeting Forum.  The Societies will not be held responsible for any roommate partnering issues originating from the use of the bulletin board or any other method.
